  • Provide administrative support to the property agency, including managing phone calls, emails, and correspondence.
  • Schedule appointments, meetings, and property viewings, ensuring efficient coordination and timely communication.
  • Maintain and update client databases, ensuring accurate and organized records of property listings, client information, and transactions.
  • Prepare and distribute property brochures, marketing materials, and other relevant documents.
  • Assist in the preparation of contracts, agreements, and other legal documents related to property transactions.
  • Coordinate with property agents and clients to facilitate property showings, inspections, and open houses.
  • Handle inquiries from potential buyers or tenants, providing information about available properties and arranging property viewings.
  • Assist in the preparation of property listings for online platforms and marketing campaigns.
  • Support the property agency's marketing efforts by managing social media accounts, website updates, and online listings.
  • Perform general office duties, such as filing, photocopying, and maintaining office supplies.
Requirements:
  • Minimum of 2 years of experience as a Secretary or in a similar administrative role, preferably in the real estate or property industry.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, with a professional and friendly demeanor.
  • Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and email management tools.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Strong multitasking abilities, with the capacity to handle multiple responsibilities simultaneously.
  • Knowledge of the property industry and familiarity with property management software is a plus.
  • High school diploma or equivalent qualification is required.
