This role is resposible for supporting the service team on all operations administrative tasks. "1. Order Processing. Candidates should have a basic understanding of the SAP order process system. This includes creating service order fulfillment for all service orders, managing the service order from PO receipt to delivery, scheduling, and billing. For contract POs, ensure that PM servicing and additional job scopes are planned and billed according to the quotation. Prepare service agreements and follow up with customers for signed agreements. Record all service orders and ensure all billing is completed as planned before month-end closing. 2. Job Scheduling. Familiarity with SalesForce Field Service Management is preferred. Responsibilities include planning manpower allocation on a monthly and daily basis. Coordinate work schedules with Field Service Engineers, Service partners and sub-contractors. Prepare paperwork related to service appointments with customers and providing name lists. Monitor and arrange SIC for engineers and contractors. Issue work orders in SalesForce. 3. Issuing Purchase Requisitions. Verify all service jobs, including preventive maintenance, and collaborate with the Service Manager on work orders. Raise purchase requisitions (PR) with Customer Service for customer purchase orders involving outsourced jobs to service partners. Issue PRs for spare parts purchases under comprehensive maintenance. 4. Warranty Management. Handle warranty inquiries, such as checking warranty status from distributors/Resellers/end users. Verify extended warranty POs and coordinate with Project PM to obtain UPS/user information for warranty certificates. Issue warranty certificates for PQ / PD / Cooling Systems. Update SAP for UPS warranty extensions period. Support Service Manager for local warranty claims and RMAs process. Assist in knocking off spare parts used in comprehensive maintenance from SAP. 5. Quality Management System Commitment. Implement the process approach and risk-based thinking. Provide necessary support to fully implement and sustain the QMS. Communicate the importance of conforming to QMS requirements within the organization. Ensure the QMS meets its goals. Engage, direct, and support individuals contributing to the QMS.
