About the job Coordinator, Business SupportCoordinator, Business Support(Third Party Contractor)Jakarta, IndonesiaRole Purpose:To ensure and monitor the availability of a safe and clean office area and provide office related facilities, office supplies, transportation, office security guards, relevant permits, mailing, courier, and recreational/sports activities, in accordance with the needs of the internal customers and with an effective and efficient utilization of the General Services and internal customers budget, in such a way that management and employees are optimally supported in the execution of their work activities.Responsibilities include but are not limited to the following:
  • Organize and maintain resources (staff, cleaning service contractor, security guards, office attendants, and mailing personnel), manage office area and its facilities including parking registration for employees, electricity and air conditioning in order to ensure clean and safe office ready for company operations.
  • Maintain and control the storage of fixtures, furniture, and documents in the storage.
  • Monitor and review office supplies stock and issue replenishment to office supplies vendor under procurement contract
  • Manage office refreshments required for Company meetings and events.
  • Supervise Car Dispatcher in managing operational cars hired by Company to perform efficient, effective, and safe car operations in compliance with Driving Standards of Mubadala Energy.
  • Support in tender processes for office operations.
  • Receive, check and review all General Services related incoming invoices and complete the invoices with the matching order documents.
  • Supervise distribution of incoming and outgoing mailing and courier to ensure appropriately received by the relevant addressees related to company business purposes.
  • Coordinate and supervise process to obtain Business ID (NIB) and domicile permits.
  • Manage supports required for sports and interests of employees.
  • Comply and demonstrate commitment of all Company HSSE Policy, Standards, and Procedures.
Qualifications include but are not limited to the following:
  • Hold a minimum bachelor's degree.
  • Minimum 8 years working experience in office operations and maintenance. Preferable from oil and gas industry.
  • Having basic construction maintenance skills for building maintenance and facilities.
  • Proficient in computer and database skills.
  • Good integrity and self-confidence to follow the right procedures, relationship building with internal customers.
  • Customer orientation, teamwork, and team leadership abilities.
