- Responsible for the coordination and control of order cycles and deliveries.
- Check conformity of offer versus Letter of Purchase orders (LPO) from clients.
- Ensure accurate invoicing and resolving of credit requests arising during the project period.
- Ensure clients' enquires are managed in a timely manner
- Check material list availability & timely communication to logistics department.
- Ensure client satisfaction by professionally coordinating all deliveries/returns.
- Ensure accurate and correct handling of Discos II (in-house order processing system)
- Adhere to reporting deadlines.
- Create and file all related correspondences and reports.
- Ensure efficient execution of imports (including monitoring and local clearance)
- Coordinate inbound and outbound container shipments with yard operations
- Create relevant documentation (pro-forma invoices, packing lists, CoO) for exports
- Ensure correct customs duty payments for shipments leaving Indonesia borders
- Organise and monitor external reconditioning of Doka material
- Archive all import, export and purchasing documents
- Check invoices and posting in Discos II (including allocation of clearing charges)
- Coordinate and manage deviations including creation of complaints and follow-up
- Support month-end closing (e.g. customs duty calculation, invoice posting)
- Execute administrational logistics tasks as and when required
- Support the annual full stock take
- Other tasks upon request of Country Manager Doka Indonesia
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related studies.
- Minimum 5 years of experience in in the related position. Working experience in construction industry is a plus.
- Strong understanding of commercial and logistics processes, inventory management, and order fulfillment.
- Analytical skills and technical proficiency.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Proficient in Microsoft Office (Excel, Word, Outlook) and familiarity with ERP or logistics software is a plus.
- Good communication and interpersonal skills to coordinate effectively with internal teams and external partners.
- Ability to work under minimum supervision, meet deadlines, and adapt to changing priorities.
- Proactive, problem-solving mindset with a focus on continuous improvement.
- Excellent proficiency in English and Bahasa Indonesia (both written and spoken).
